A history of customer service and a friendly manner are also required. Currently we are seeking a full time Office Assistant that will make an impactful contribution to our team! The primary responsibility of the Assistant Office Manager will be the duties of the Assistant. (See job description). In addition to the Office Assistant duties the Assistant Business Office Assistant will be responsible for supporting the Property Manager in coordinating and performing office functions.

Areas of Responsibility:

Office Assistant Responsibilities:

-DAILY ACCOUNTABILITIES:

  • Check portal Appfolio daily for all payments and work orders. Responds to all work orders, checks with Property Manager and maintenance team for turnaround time;
  • Updates listings daily, social media, crag lists, leasing listings sheet;
  • Ensure that all rents and late fees/check charges are collected, posted and deposited

in a timely manner. Ensure rent google sheet is updated daily;

  • Ensure the vacant sheet and lead sheet is updated daily;
  • Call and schedule all leads for showings with property manager, send leads vacancy postings from Appfolio;
  • Responsible for offices opening on schedule, condition of office, and model

Executive suite;

  • Review daily conference room use, all must be scheduled with Nextdus;
  • Answer only Key West Center incoming calls, greet everyone entering the building;
  • Distribute incoming mail.

RESPONSIBLITES :

  • Provide constant vendor/contractor communications concerning scheduling, billing,

vendor relations and certificates of insurance;

vendor relations and certificates of insurance. The property manager is responsible for

approving and submitting all invoices to corporate office for payment;

  • Confirm all leases and corresponding paperwork are completed and input to portal Appfolio and google drive accurately and on a timely basis;
  • Ensure current tenant files are properly maintained.
  • Handle the tenants concerns and requests on timely basis to ensure tenant satisfaction

with management;

  • Lead emergency team for the center. Ensure proper response and handling of all

property emergencies with staff, tenants, building, etc. within company guidelines to

minimize liabilities (i.e., criminal activity on premises, employee/tenant injuries, fires,

floods, tornados, etc.);

  • Ensures that lease files are complete, and that completion of leases are being executed

Properly;

  • Attend scheduled company and TEAM meetings, wherever held;
  • Must know how to develop rental agreements, selects qualified tenants, collects deposits and rents, enforces terms of rental agreements, send three day notices, resolves tenant complaints, oversee eviction proceedings, if necessary;
  • Maintain a positive customer service attitude;
  • Periodic inspection with tenants, move-in/move-out inspections;
  • Review all notices to vacate to determine the cause of the move-out;
  • Send notice to vacate acknowledgements with instructions and penalties, if applicable;
  • Initiate and implement policies/procedures to maintain tenant communications; e.g.,

complaints, service requests, etc.;

  • Ensure distribution of all company or tenant community-issued notices (i.e., bad weather emergency, etc.). Update Portal (owner/tenant) message boards on a regular basis;
  • Maintain property by investigating and resolving tenant complaints; enforcing rules of

occupancy; inspecting vacant units and completing repairs; planning renovations;

contracting with landscaping;

Qualifications:

•Bachelor's degree, or a combination of education and equivalent experience

•3+ years of experience managing

•Strong customer service, coordination and administrative skills

•Basic knowledge of building structures

•Able to pay meticulous attention to detail

•Excellent knowledge of Microsoft Office Suite and other web-based applications

•Valid driver's license

Clean Criminal History, Drug Free workplace and Background check are mandatory.
